The organization was managing multiple Google Workspace environments and needed to consolidate its users, data, domains, and collaboration structure into a more organized and secure environment.

The project involved 84 users and required careful handling of business email, Google Drive data, contacts, groups, Chat spaces, domain configuration, and user access—while minimizing disruption to day-to-day operations.

The environment also included legacy and duplicate accounts that needed to be reviewed and cleaned up as part of the consolidation.

I handled the project end-to-end, including:

• Migrated 84 users, including email, Google Drive files, and contacts
• Consolidated two Google Workspace environments
• Migrated an additional domain to the appropriate Workspace environment
• Cleaned up duplicate and legacy accounts
• Migrated additional users from AOL
• Reorganized users using appropriate Groups and Organizational Units (OUs)
• Recreated required Google Groups and collaboration structures
• Replicated existing Chat group structures and configured necessary Chat spaces
• Set up email delegation for Sales, Customer Service, and Purchasing teams
• Implemented 2-Step Verification (2FA) for all users
• Configured group-based access and secure sharing permissions
• Configured group-based Chat space memberships
• Configured and validated SPF, DKIM, and DMARC
• Reviewed the overall Workspace structure to make ongoing administration and access management easier

Outcome

The organization moved from multiple Workspace environments and a less structured account setup to a consolidated and more organized Google Workspace environment.

The completed setup provided:

• A centralized Workspace environment
• Better user and organizational management
• More controlled file-sharing permissions
• Improved account security through 2FA
• Structured access for different teams
• Proper email authentication through SPF, DKIM, and DMARC
• Cleaner management of legacy and duplicate accounts
• A more manageable foundation for ongoing Google Workspace administration
