FAQ

Questions people ask before booking a call.

If your question is not here, email [email protected] or book a free 15-minute call — I will answer it directly.

01. Who exactly am I working with?

You are working with me — Shrikant, directly. ManagedInbox is not an agency or a support team. Every project, every email, every call is handled by me personally. When something needs to be fixed, I fix it — not a junior, not a subcontractor.

02. Where are you based and what are your working hours?

I am based in Pune, India and work Monday to Saturday. I reply to messages within 4 hours during working hours — and for ongoing admin clients, within 2 hours for anything urgent. I work regularly with clients across India, the US, the UK, Europe, and Australia, so time zone differences are something I accommodate as a matter of course.

03. Do you work with non-technical business owners?

Yes — and honestly, this is most of my clients. You do not need to know what DNS is, what MX records do, or how email authentication works. You need to describe what is not working and what you are trying to achieve. I handle the technical side and explain what I did in plain English when it is done.

04. Can you work in Hindi or Marathi?

Yes. For clients in Maharashtra and across India, I am equally comfortable working in English, Hindi, or Marathi — whichever makes the conversation easier for you.

05. How do I get in touch once we start working together?

By email, directly. You get my contact details after the first call. There is no ticket system, no shared inbox, no support queue. You message me and I reply.

06. Do you sign NDAs or confidentiality agreements?

Yes — if your business requires it, I am happy to sign a standard NDA before accessing any systems or discussing sensitive information.

07. Can I see your Upwork reviews before deciding?

Absolutely — I encourage it. My Upwork profile shows all completed projects, a 100% Job Success Score, and verified reviews from real clients. You can find it at: https://www.upwork.com/freelancers/shrikantdonglikar — the reviews there are more detailed than anything I could write about myself.

01. How long does a Google Workspace migration take?

It depends on the number of users and the platform you are migrating from. A straightforward migration for a small team (1–5 users) from cPanel or shared hosting typically takes 1–2 days. A larger migration from Microsoft 365 with 20–50 users takes 3–5 business days. I give you a specific timeline on the scoping call before anything starts.

02. Will there be any email downtime during the migration?

No — if planned correctly, and planning it correctly is my job. I use a phased approach where your existing email system stays live until the new Google Workspace setup is fully verified. The MX record switch — the moment email starts routing to Google — happens only when everything is ready and tested. Most clients experience zero downtime.

03. Can my team keep using Outlook or Apple Mail after moving to Google Workspace?

Yes. Google Workspace works with Outlook, Apple Mail, Thunderbird, and any IMAP-compatible email client. I configure this as part of every migration so your team does not need to change how they work. The switch should be invisible to them.

04. Do you help choose the right Google Workspace plan?

Yes — and this is always the first conversation. I am not a reseller and I earn no commission from which plan you choose. I recommend the plan that actually fits your team’s needs — which is sometimes a cheaper one than you expected. You buy licences directly from Google or any reseller of your choice.

05. We set up Workspace ourselves. Can you fix what is not working without starting from scratch?

Usually yes. Most self-configured Workspaces have specific gaps rather than fundamental problems. I audit what you have, identify exactly what needs correcting, fix it, and give you a summary of the changes. Starting from scratch is rarely necessary.

06. What information do I need before the migration call?

Access to your domain registrar (GoDaddy, BigRock, Namecheap, or wherever your domain is registered), your current email provider login, and a rough list of email accounts that need to be migrated. I will walk you through everything else on the call.

07. Do you work with any domain registrar or DNS provider?

Yes — GoDaddy, Cloudflare, BigRock, Namecheap, Hostinger, SiteGround, and any other registrar or DNS provider. I also work with cPanel and Plesk hosting environments. If your setup is unusual, mention it on the call — I have not encountered one I could not work with.

08. What happens if something goes wrong after the migration?

I stay available after every migration for follow-up support. If something is not working correctly as a direct result of the migration, I fix it at no additional charge. I also provide a plain-English written summary at the end of every project so you understand exactly what was done.

01. My emails are going to spam. How quickly can you fix this?

Most single-domain deliverability issues are fixed the same day. The audit typically takes 1–2 hours. DNS changes propagate within 30 minutes to 4 hours. I verify that email is landing in inboxes — not just that the DNS records pass a tool check — before I consider the job done.

02. Google Support told me the problem is on the recipient’s end. Is that true?

Rarely. In my experience, when Google Support says this, the issue is almost always in your DNS configuration — which is outside what Google’s standard support covers. SPF, DKIM, or DMARC problems are the real cause in most cases, and they are fixable.

03. Do I need to give you access to my domain registrar to fix deliverability?

I will either make the DNS changes myself or walk you through making them step by step. If you give me access, I only ask for what is necessary — and I explain every change before making it. If you prefer to make the changes yourself while I guide you, that works too.

04. What is the difference between SPF, DKIM, and DMARC — and do I need all three?

In plain English: SPF tells receiving servers which servers are authorised to send email from your domain. DKIM adds a digital signature that proves the email genuinely came from you. DMARC tells receiving servers what to do if SPF or DKIM fails. You need all three — correctly configured and properly aligned — for reliable delivery. Having one or two, or having all three configured incorrectly, still leaves you vulnerable.

05. We have SPF and DKIM set up already. Why are emails still going to spam?

Because having these records present is not the same as having them correctly configured. Common problems include SPF records with too many DNS lookups (which cause silent failures), DKIM applied to the wrong DNS zone, and DMARC set to p=none — which monitors but does nothing to protect delivery. My audit checks all of this properly.

06. Will fixing DMARC cause any of our legitimate emails to be rejected?

Not if done correctly. A common mistake is moving straight to p=reject before SPF and DKIM are fully aligned — which can cause legitimate emails to bounce. I always check alignment first and tighten the policy in stages only when it is safe to do so.

01. What does ongoing admin actually cover day to day?

Every month I handle new user onboarding, offboarding of leavers, licence reviews, alias and group management, Shared Drive permission reviews, security setting checks, and email deliverability monitoring. For anything that comes up outside of routine tasks — a user locked out, email not arriving, an urgent access change — I respond within 2–4 hours.

02. Is there a minimum contract period?

No. All plans are month to month. There are no lock-in contracts. If the arrangement is not working for you, cancel with one month’s notice. I would rather earn your business every month than hold you to a contract.

03. We only have 3 or 4 users. Does ongoing admin make sense for us?

It depends on how much Workspace admin is currently landing on you personally. If you are spending time every month managing users, troubleshooting issues, or worrying about whether things are set up correctly — it probably does. If your setup is stable and unlikely to change, a one-time health check may serve you better. Book a call and I will tell you honestly.

04. Can you help us actually use more of what Google Workspace offers?

Yes — this is built into every ongoing plan. Most businesses use Workspace primarily for email and miss everything else. Email delegation, shared mailboxes, Google Groups, aliases, collaborative Docs and Drive — I help your team get real value from tools they are already paying for.

05. What if we want to cancel?

One month’s notice by email. No penalties, no complicated process. I will also make sure you have everything needed to manage your Workspace independently or hand over to someone else — documentation, full admin access, and a configuration summary.

06. How is this different from just using Google Support?

Google Support handles general product questions through a queue — they do not know your specific setup, your history, or your business. I do. When something goes wrong, I can diagnose it in minutes because I am not starting from scratch every time.

01. Do you charge by the hour?

No. All my services are fixed price or monthly retainer. You know the cost before I start — no hourly surprises. For project work, I scope the cost on the free call and confirm it in writing before anything begins.

02. What payment methods do you accept?

For Indian clients: bank transfer and UPI. For international clients: payment details are shared after the scoping call. Prices are in INR for Indian clients and USD for international clients.

03. Do you offer refunds?

If I have not started work, yes — full refund. If work has begun and there is a genuine problem with the service, I would rather fix the issue than issue a refund. I have maintained a 100% job success score across all my Upwork projects because I see every engagement through to a working outcome.

04. Can I start with a health check and move to ongoing admin later?

Yes — and this is a common path. The health check gives both of us a clear picture of your Workspace before committing to a monthly arrangement. If you move to an ongoing plan within 30 days of the audit, the health check fee is deducted from your first month.

05. Are your prices the same for Indian and international clients?

I publish both INR and USD pricing. Indian clients pay in INR. International clients pay in USD. The exchange rate means international pricing is slightly higher in absolute terms — this reflects standard practice for consultants working across markets.
