The challenge
GoDaddy’s email was built for a business a third of AirPerfection’s size.
AirPerfection runs technical operations across multiple locations simultaneously — administrative staff in Jabalpur, a regional team in Delhi, and field engineers at active project sites across the region. That kind of operation depends on reliable, fast, unfragmented communication. What they had was the opposite.
A 15MB attachment limit — in a company that shares CAD files daily
Engineers and designers regularly needed to share large AutoCAD files between site teams and the Jabalpur office. GoDaddy’s 15MB attachment cap made this genuinely difficult. Files were being split, compressed, or sent through workarounds — every time, for every transfer.
Mailbox storage so low that deleting emails was routine
Users were regularly clearing their inboxes just to keep things working. That is not just inconvenient — it is a business risk. Deleted communication is unrecoverable, and in a company managing multiple active projects, losing context from an email thread has real consequences.
Frequent downtime, login failures, and delayed delivery
GoDaddy’s shared hosting email infrastructure was unreliable for a team this size. Webmail sessions dropped. Emails arrived late. Login failures happened without warning. For a company coordinating between offices and project sites in real time, each interruption translated directly into lost productivity.
No consistency — everyone was using a different setup
Some team members used Outlook desktop. Others were on IMAP-configured mobiles. Others used webmail. Each setup worked differently, synced differently, and caused different problems. There was no central management, no visibility into what was happening across accounts, and no way to fix problems systematically.
For a technical services company managing active project sites, this level of communication friction had a direct cost.
The goal
One unified platform. Zero disruption during the switch.
AirPerfection needed to move to Google Workspace without losing a single email, without taking their team offline during the transition, and without creating a new set of problems in the process. The goal was not just to complete a migration — it was to leave the team on a platform they could use confidently and manage independently after the project was done.

The approach
A phased migration, not a risky cutover.
The biggest risk in any email migration is the moment the DNS switch happens — when email starts routing to the new system. If anything is not ready at that point, emails go missing. The approach here was to make sure everything was ready well before that moment arrived.
Data Migration
The migration used Google’s Data Migration Service (DMS) over IMAP — a structured approach that moves mailbox data in the background while the existing system stays live. 17 legacy user accounts were migrated, covering the full historical mailbox of each user.
Here is what made this migration more complex than average: GoDaddy’s legacy server had sync limitations that caused intermittent failures during the IMAP transfer. Rather than accept those gaps, every failed email was tracked by Message ID and recovered manually. 170 emails that did not transfer in the initial run were individually identified and migrated by hand.

The process ran over approximately one week, with extended monitoring at each stage to catch and resolve issues before they became permanent.
DNS and Secure Cutover
MX records, SPF, DKIM, and DMARC were all configured and verified before the cutover — not after. This is the step most self-managed migrations get wrong. DNS changes need to be made in a specific sequence, with propagation time accounted for at each stage.
The MX record switch — the moment email begins routing to Google — happened only when the new environment was fully tested and ready. Email flow was uninterrupted throughout. No emails were lost during cutover.
New User Deployment
In parallel with the migration of legacy accounts, 13 new users were configured directly within Google Workspace. By the end of the project, the entire team of 35 — legacy migrated accounts and new accounts alike — was on a single, managed, correctly-configured platform.
Training
A migration is not useful if the team cannot use what they have been given.
Moving data is the technical part of a migration. But a team that has spent years on Outlook and GoDaddy webmail will not automatically know how to use Gmail, Drive, Chat, and Meet effectively. Two structured training tracks were delivered as part of this engagement — one for end users, one for the internal administrator.

The goal of Track 2 was long-term independence. After the project closed, the internal administrator should be able to manage day-to-day Workspace tasks without needing to call anyone.

By the end of the project, AirPerfection had moved from a fragmented, unreliable legacy system to a properly structured cloud productivity platform. Every user was on the same environment, managed centrally, with consistent security settings and correct email authentication.
The 15MB attachment limit that had been blocking engineers from sharing CAD files was gone. The storage constraints that had forced staff to delete emails were gone. The inconsistent mix of Outlook, IMAP mobile, and webmail setups was replaced by one unified system. Email delivery was reliable. The admin had the knowledge and access to manage the environment going forward without external help.
